Small Business Client Onboarding Checklist

A step-by-step onboarding sequence that makes new clients feel confident and reduces admin later.

Onboarding is the period where a client decides whether hiring you was a good idea. It happens before most of the work is delivered, and it is almost entirely made of communication. A repeatable sequence turns that into a strength.

Before the first day

  • Send a written confirmation of scope, price, and dates
  • Send the intake form and give a deadline for returning it
  • Collect access details: keys, logins, parking, contacts, hours
  • Take the deposit and confirm receipt
  • Add the client to your calendar and your follow-up reminders

The welcome message

One email that restates the agreement, lists the next three steps, names the main contact, and states your response times. This single message eliminates most early confusion and sets expectations you can point back to later.

The first week

Deliver something visible early, even if small. A first draft, a site visit summary, a schedule, or a photo update tells the client that momentum exists. Silence in week one is the most common cause of anxious check-in messages.

Set the communication rhythm

Agree the channel, the update frequency, and the response window in writing. "I send an update every Friday and reply to messages within one working day" prevents the pattern where a client escalates because they do not know when to expect news.

Close the loop

At the end of onboarding, confirm that everything agreed has been set up and ask one question: is there anything unclear so far? Fixing a misunderstanding in week one costs a message; fixing it at delivery costs the relationship.

Key takeaways

  • Onboarding is communication, not paperwork
  • Confirm scope, price, and dates in writing before starting
  • Deliver something visible in the first week
  • Agree update frequency and response times up front
